TejoMed is looking for a proactive, highly organized, and detail-oriented Executive & Research Assistant to support our leadership team and help scale our business. In this role, you will work at the intersection of research, executive support, and operations, assisting with both professional and personal tasks. Your expertise will ensure the smooth running of day-to-day operations, allowing us to focus on revolutionizing healthcare through our concierge GP service in Lisbon.

What You Will Do
Administrative Support
- Manage calendars, schedule appointments, and send reminders for both personal and business needs.
- Answer office calls and handle non-sales, non-medical administrative inquiries.
- Prepare, send, and organize invoices; assist with accounting and billing coordination.
- Order supplies and gifts as needed.
- Conduct weekly research on office spaces for rent or sale.
- Coordinate with specialists for referrals, consultations, or follow-up appointments.
Research & Data Management
- Research products, vendors, and service providers, identifying the best options and contacting them as necessary.
- Conduct outreach to local providers, consultants, or experts to arrange services or appointments.
- Build and maintain databases of contacts, resources, and community insights.
Sales, Marketing, & Events Support
- Monitor and share weekly events and local activities relevant to the team.
- Research and track discussions in online communities (WhatsApp, Facebook, forums) and relay insights to the sales team.
- Build databases of contacts from event lists or LinkedIn and reach out to potential connections.
- Assist with managing social media inquiries, proposing responses, and creating updates.
- Help organize in-person events, including vendor coordination and logistics.
Personal Support
- Research and book restaurants, ensuring they accommodate specific dietary needs.
- Plan and book travel itineraries, including flights, accommodations, and transportation.
- Manage vendors and coordinate repairs or in-person services remotely.
- Assist with personal purchases, deliveries, and lifestyle management tasks.
Special Projects
- Manage and execute special projects based on business or operational needs.
Content Creation & Writing (Bonus Skills)
- Assist in drafting social media content, sales responses, and other written communications.
- Create polished documents from notes using AI tools like ChatGPT.
What We Are Looking For
- Experience: A proven track record in executive, administrative, or personal assistant roles.
- AI Proficiency: Strong familiarity with using AI tools (such as ChatGPT) to enhance efficiency in tasks like research, drafting, and workflow optimization.
- Bilingual: Fluency in English and Portuguese, with excellent written and spoken communication in both languages.
- Tech-Savviness: Comfort with tools like Google Apps, Office, Trello, Slack, or similar platforms.
- Availability: Ability to work Portugal time zone hours with flexibility to meet evolving priorities.
- Attributes: You are a problem-solver, highly organized, adaptable, discreet, and trustworthy.
